The Centre for International Visiting Artists and Scholars (IVAS) is pleased to offer an exciting internship opportunity in Customer Relationship Management (CRM). This role is crucial in promoting IVAS's membership to our diverse stakeholders, including members, partners, sponsors, contributors and the public who share our values in arts-based cross-disciplinary and intercultural collaborations. We are seeking an enthusiastic individual who excels in delivering exceptional customer service and enjoys building rapport with a wide range of academics, scholars and professional colleagues in higher education and beyond. Ideally, you would be able to work for 2 days per week, however, the working pattern/days can be discussed and agreed upon with the successful candidate.
Key responsibilities:
1. CRM System Management
Identify the best-fit CRM system (eg. HubSpot, Salesforce etc.) to meet the company's needs.
Ensure the CRM system is effectively maintained and that data integrity and accuracy are upheld.
Timely update and refine member records to ensure the system reflects current information.
Develop and implement CRM strategies aimed at improving member engagement and retention.
2. Membership Recruitment and Retention Campaigns
Develop and execute targeted recruitment and retention campaigns in a timely and cost-effective manner.
Serve as the first point of contact for key stakeholders, addressing inquiries and providing support promptly.
Track and report the success of recruitment and retention efforts.
Build rapport with stakeholders through regular and personalised interactions and communication.
3. Member onboarding and membership processing
Process new membership applications and renewals promptly and accurately.
Ensure new members and partners are familiar with the benefits IVAS offers.
Proactively gather feedback for continuous improvement.
Record and report significant engagement metrics to identify new membership recruitment opportunities and conversion.
4. Training and Support:
Provide training sessions and create on-demand recordings of the platform's functions and processes.
Identify, create and organise relevant events and activities for our community, and create marketing materials to promote them.

Essential Skills and Behaviours
Target-driven with a focus on measurable goals related to member growth, retention and engagement through championing campaigns, eg. events and activities.
Good command of CRM software platforms (such as Salesforce or HubSpot is essential for effectively managing member recruitment, data, communications and engagement.
Customer service-minded for addressing and following up on member enquiries, concerns, and feedback promptly and professionally.
Ability to collect, organise and analyse member data to derive insights, trends and patterns to inform decision-making processes and membership renewal. This includes data entry, data cleaning and basic data analysis skills.
A willingness to stay updated on industry trends, best practices and emerging technologies related to CRM management and member engagement through self-directed learning, training programmes and professional development opportunities.
Proficiency in Microsoft Office applications and a proactive attitude towards learning new software tools as needed.
Desirable Skills and Behaviours
Knowledge of the higher education (HE) sector will be desirable to understand membership dynamics, including HE challenges and opportunities for better member engagement, retention and growth.
Confident public speaker and proficient in delivering compelling presentations to translate complex ideas and findings into easily understandable results for diverse audiences.
